Transfer, hosting, processing location and access are agreed before matter data is exchanged.

Reduce unnecessary data movement

Where practical and appropriate, work may be performed inside your environment or an approved provider’s, so data does not have to move.

Limit access

Access is configured for the engagement so that each participant sees only what their role requires.

Keep an appropriate record

Where evidence handling is in scope, we record source, action, operator, time and purpose at the level required by the engagement.

Make third-party roles clear

Technology, hosting, subcontractor and specialist roles are named and agreed for the engagement.

Set the end state

Retention, return and secure deletion are agreed for the engagement.

Escalate incidents

Security or confidentiality incidents are handled through agreed escalation and notification steps.

Set data responsibilities

Before work begins, the engagement terms name who provides matter data, who approves access and handling decisions, and who receives the agreed work product.

Consider conflicts

The parties and scope for a conflict check are agreed before we accept the work, along with when the check has to be repeated.
